Reservation and cancellation conditions
ARRIVING AND CHECK OUT
The hotel rooms are available to customers from 15:00 on the day of arrival. The hotel is open Mon-Fri from 6.30am until 10pm, Saturday from 8am until 10pm and Sunday from 8am until 12 noon (opening hours on public holidays vary). Check-in is also possible outside of opening hours. If you know you will be arriving at the hotel after closing, please contact the hotel's reception. CHANGING OR CANCELLING THE BOOKING
You can change or cancel your accommodation reservation free of charge until 18:00 (local time) the day before your arrival at the latest. The hotel has the right to charge the first night of the reservation if the reservation is canceled after that or if the customer completely fails to arrive. If you are leaving before the agreed departure date, you must inform the hotel of your departure no later than 6pm the day before. If it is a question of accommodation for several nights, you must pay the agreed price for the unused time. Advance payments are not refunded if the reservation is canceled or the value changes. If you want to move the date of the pre-paid reservation, contact the hotel directly. For group bookings, the hotel follows the group booking conditions.
RESERVATION GUARANTEE
An international credit card can be used to secure the reservation. The hotel keeps the room reserved even after 6pm., without you having to notify us of your late arrival. For this, the hotel needs the following information from you: your name, card number and validity period, address, phone number and email address. The hotel can request this information in writing or orally. We reserve the right to change our booking and cancellation conditions. Before making a
reservation, the customer must familiarize himself with the reservation and cancellation conditions valid at any given time and accept them. Hotel Aquarius handles all customer data completely confidentially. These booking and cancellation conditions apply to reservations made through the hotel's
website and directly.
HOTEL ROOMS
The room price includes hotel breakfast, evening sauna and free use of the gym. For smoking in the room, we charge a cleaning fee of at least €200 (max. €1000). Customers are responsible for their own luggage. The hotel is not responsible for damage or loss of the vehicle in the parking area or the property inside it. Always find out where the emergency exit and fire extinguishers are located.
SPECIAL SITUATIONS – ACCIDENT OR ILLNESS
In cases of serious illness or accident- cancellations must be reported without delay and an official medical certificate submitted in which case we will charge office costs of €35/room. Cancellation must be made before the start of the accommodation. In order to make a refund a medical certificate or other reliable statement must be submitted to Hotel Aquarius within 14 days of the cancellation. No refund will be made on the basis of certificates delivered later. Cancellation or interruption of the holiday during the stay does not entitle you to a refund. You should check the coverage of your own travel insurance in case of trip cancellation.
FORCE MAJOR
Both parties have the right to cancel the contract in writing without any liability for compensation due to war, official decisions, acts of terrorism, natural disasters, strikes, internal political unrest in Finland or other reasons beyond the control of the party and as a result of which the fulfillment of the contractual obligations becomes unfavorable, against the law or impossible for the party. For compelling other reasons the hotel has the right to transfer the reservation to another accommodation facility of at least the same level. The hotel compensates the customer for the immediate costs of the transfer.
CANCELLATION TERMS FOR GROUPS
Under the following conditions the customer has the right to cancel his reservation without any obligation to compensate the hotel or to receive a refund of the total value of the reservation as follows:
Number of rooms: 5-10
Entire reservation, cancellation 14 days before arrival
50% of the reservation, cancellation 7 days before arrival
Number of rooms: 11 – 20
Entire reservation, cancellation 30 days before arrival
50% of the reservation, cancellation 21 days before arrival
25% of the reservation, cancellation 12 days before arrival
Number of rooms: 21 – 30
entire reservation, cancellation 60 days before arrival
50% of the reservation, cancellation 30 days before arrival
25% of the reservation, cancellation 21 days before arrival
Number of rooms: more than 30
entire reservation, cancellation 120 days before arrival
50% of the reservation, cancellation 60 days before arrival
25% of the reservation, cancellation 30 days before arrival
For later cancellations, the hotel has the right to charge the full value of the reservation.
